The most refined weddings often feel the least rushed: thoughtfully designed, beautifully executed, and experienced fully by the couple themselves.

Behind that kind of celebration is often a planner who understands how to bring together the right people, the right design, and the right atmosphere for the day to unfold effortlessly.

Today, I’m so excited to highlight Washington, DC wedding planner Rachel Rice of The One Moment Events, a planner whose approach blends intentional design with a deeply thoughtful client experience. Her philosophy is simple: the best weddings begin with wonderful people and a collaborative team.

And when those two things come together, something special happens.

The Secret Behind Her Favorite Weddings

When asked what makes a wedding truly unforgettable, Rachel doesn’t immediately mention the flowers or décor, though she certainly loves those elements too.

Instead, she points to the people.

My favorite weddings always come down to the people. I love a beautiful production, floral installations, thoughtfully designed stationery, and all the creative details, but the best part is always the people behind it.

Working with kind, joyful couples allows the entire vendor team to go above and beyond.

When we’re working with clients we truly adore, the entire process becomes a joy. And when we’re surrounded by creative partners we love collaborating with, we’re able to go above and beyond for our clients while genuinely enjoying the work.”

And that spirit of collaboration often leads to the most memorable celebrations.

A Planning Approach Rooted in Collaboration

Every planner has a different philosophy when it comes to planning weddings. For Rachel, the word that best describes her approach is simple:

Collaborative.

“I love playing around with concepts with both my clients and creative partners. When the big day comes around and everything fits perfectly into place and it’s simply exquisite, it’s because I leaned on my amazing team to make it happen.”

By inviting creative partners into the process and encouraging open collaboration, each wedding becomes a shared vision brought to life by a team of talented professionals.

Why Hiring a Planner Changes the Entire Wedding Experience

Couples often think of planners primarily as logistical coordinators. But the real value of a planner is something much deeper.

Rachel compares the experience to luxury travel.

“I took a private jet once, and it was the most streamlined, luxurious experience. I still had to get from point A to point B, but I didn’t have to think about my luggage, my passport, or the hassle of security.”

Planning a wedding with the right team can feel remarkably similar.

“Hiring a full-service planner is kind of like that. You get to enjoy the process and arrive blissful at your destination.”

Instead of worrying about logistics, couples are able to stay present and enjoy the experience from beginning to end.

A Thoughtful Approach to Wedding Design

Beautiful weddings rarely happen by accident. The most memorable celebrations are built around thoughtful design choices that reflect the couple’s story and the atmosphere they want to create.

For Rachel Rice, this often means collaborating closely with floral designers, stationers, and production teams to craft an environment that feels cohesive from the ceremony through the final dance.

From custom paper goods to dramatic floral installations, each element contributes to the overall experience, allowing the wedding to feel both elevated and deeply personal.

What Couples Often Underestimate About the Wedding Day

If there’s one thing planners and photographers agree on, it’s how quickly the wedding day goes by.

“We try to build in extra time at every turn, not just for things to run over, but also so our clients can enjoy and be present in the moment.”

These small pockets of breathing room allow couples to pause and take in the atmosphere around them.

“We’ll remind them to look around and soak it in because it goes by quickly.”

And of course, capturing those moments matters too.

“It’s also why we encourage clients to hire a great photo and video team. If you’ve captured the essence of those memories, you can relive them time and time again.”

Creating an Experience for Your Guests

One of the hallmarks of a beautifully planned wedding is how it feels for the people in the room.

From thoughtful welcome moments to seamless transitions throughout the evening, a well-designed celebration allows guests to relax and fully enjoy the experience.

This attention to guest experience is something Rachel prioritizes, ensuring the day flows naturally while couples remain present with the people they love most.

Where Couples Often Wish They Had Invested More

After planning many weddings, Rachel has noticed two areas where couples frequently wish they had allocated more of their budget.

The first is photography and video, the lasting record of the celebration.

The second?

Production and rentals.

And she has one memorable piece of advice for couples:

“Just get the chairs you love. It’s worth the investment.”

Those thoughtful design choices often become the elements that elevate the entire atmosphere of the wedding.

What Makes a Vendor Team Truly Exceptional

Not all vendor teams function the same way, and Rachel has a simple philosophy that guides how she approaches building a team.

“There are three types of vendors.”

Class A: Wonderful people who also do amazing work
Class B: Amazing work but difficult to work with
Class C: Lovely people but average work

Her goal is always the first category.

“My goal is always to work with Class A vendors.”

Because when the right team comes together, creativity flows more freely and the entire wedding experience becomes smoother for everyone involved, especially the couple.

One Simple Way Couples Can Stay Present

One of the most practical pieces of advice she offers couples begins with the guest list.

“Invite fewer guests.”

While large weddings can be beautiful, extremely large guest counts often leave couples feeling like they are rushing from person to person.

“If you’re in a room with 500 people, you’re going to be rushing around like it’s a giant music festival. Intention begins with the guest list.”

Thoughtfully curating the guest list allows couples to truly connect with the people who matter most.

Favorite Washington DC and Virginia Wedding Venues

Recently, Rachel has been especially inspired by weddings hosted at elegant hotels and historic properties.

A few venues she particularly enjoys working at include:

The Willard InterContinental — Washington DC Wedding Venue
Salamander Resort — Middleburg Virginia Wedding Venue
Keswick Hall — Charlottesville Wedding Venue

These venues offer not only beautiful architecture and refined spaces, but also experienced hospitality teams that help ensure the day runs smoothly.

Creating a Wedding Day That Feels Relaxed and Photographs Beautifully

Many couples worry they’ll have to choose between a relaxed experience and beautiful photographs.

According to Rachel, you don’t.

“A fabulous planning and photo team will ensure this happens.”

With thoughtful timeline design and close collaboration between planner and photographer, it’s possible to capture meaningful moments while still allowing the day to unfold naturally.

“We can work with our creative partners to build a relaxed timeline and make time for those important moments.”

Her philosophy is simple.

“Watch me design this timeline and capture all the magic with my pro photo friends.”
